Receiving a message

Want to check if you’ve got new mail? When you open your email program, the number of new messages is displayed in brackets next to Inbox. When you double-click on Inbox, the new messages are highlighted in Bold, usually at the top of the list of messages.

To open a message, simply double-click it anywhere on the message line, and the whole message opens for you.

The message is automatically saved in your Inbox. Here’s what you can do next:

  • Reply to a message – send a reply to the person who sent the message.
  • Forward a message – send the message to someone else.
  • Delete a message
  • Save the message in a different place – you can create one or more folders in your mailbox, and store messages in a selected folder. For example, you may want to store all the messages from a particular person in a folder, or store all the messages on a particular subject. You can find out more about this in: Managing your email.

Replying to a message

You can either reply to one person, or if it’s a group email, reply to all. To do this:

  1. From within the message, click on Reply. Or, to reply to everyone listed in the To: and Cc: boxes on the email, you can click on Reply All.
    A new email message is displayed, with the names of the people you are sending it to automatically listed in the To: field (and, if relevant, the Cc: field), and the original message listed in the main text area.

    You’ll also notice that the subject line displays Re: in front of the original Subject text, showing that this is a reply. If the original message had an attachment, this is removed from the new message to save space.

  2. Type your reply in the main text area, and then click on Send. The message is saved in the Sent folder, as normal.

Forwarding a message

If you want to pass the message (and the attachment) on to someone else, here’s how:

  1. From within the message, click on Forward.
    A new email message is displayed, with original Subject text, and the original message listed in the main text area. If there is an attachment, this remains attached.

  2. Type any message you want to send in addition to the original text, and then click on Send. The message is saved in the Sent folder, as normal.

Deleting a message

Deleting a message couldn’t be simpler. You need to be in the folder (for example the Inbox) that contains the message. Simply highlight the message (or messages) you want to delete, and click on Delete. You are prompted to confirm the deletion – click on Yes.
